Communication Strategies Used in My Organization

There are diverse communication strategies within the organization to enforce understanding between the organization, the healthcare team and the patients. In that sense, electronic communication encompasses the use of computers to transmit information from one location to another, with accompanying feedback coming by. Significantly, the organization has an electronic management system (E.M.R) (Saha et al., 2019). The data from the system entails capturing the patient’s demographic information, medical history, medications and family history, which would then inform the management approaches.

Through the use of the E.M.R, the organization can get in touch with the patients and then monitor their progress in terms of their conditions and therefore ascertain their progress. The use of the E.M.R has come in handy, especially in the backdrop of Covid 19, since there has been limited physical contact between the patients and the healthcare professionals. In addition, the E.M.R has reminders that can help the caregivers manage the patient effectively and prevent the occurrence of complications that cause poor outcomes.

Protecting the Patients Privacy and Confidentiality

Every patient visiting the healthcare institutions is supposed to have the security of the information they provide to the healthcare system. There is a need that the system in place is airtight enough to ensure the patient information is not subjected to undue risk or compromised in any way that would affect the eventual outcomes of healthcare (Muhsin, 2021). The organization has in place the measures supposed to be in line with the HIPAA guidelines regarding the handling of patient information.

In communication with the patients, the organization measures where the information is classified differently, like confidential, private, or non-confidential. By classifying the information, the healthcare providers can understand the best possible way of understanding the patient’s information and therefore handling it properly. Also, the information classified is channelled through closed mediums and are not easily accessible to external persons. In addition, the organization has a policy where the patients are not allowed to provide passwords to their emails or social media accounts, which would be an essential process to ensure the integrity of the patient information.

Besides, the organization does allow leakage of patient information to any social media platforms. Whenever information leaks from the system by accident, the organization has pragmatic measures of investigation that would then find out the reasons for leakage and inform the corrective measures to prevent future leakage of the information. Regularly, the organization conducts assessments and drills to determine any bugs or threats to patient information, which ensures the system’s stability. When bugs in the system are realized, the organization neutralizes them as soon as possible.

More, the organization retrains the staff on using the system and the proper ways of protecting the patient information. From time to time, the organization updates its policies regarding protecting patient information, and this ensures the organization is up to date to ensure the patient is protected. The clients visiting the organization are also educated on the need to and the best approaches of protecting the patient information. Therefore, the clients are always updated on how to ensure their information is not compromised.

Communication strategies and HIPAA

Communication strategies in a healthcare organization aim to change the behaviors, knowledge, and attitudes, such as increasing the availability of support and positive perception of risks. Healthcare organizations can adopt several strategies and improve communication between care teams and members and improve patients’ experience through effective communication. (Merlino, 2017)

Poor communication creates a hostile working environment, increases the chance of medical errors, lower-quality patient care, adverse health outcomes, and increases the cost of health provision. Therefore, healthcare needs to adapt efficient communication strategies to improve communication between the health team and patients. One of the best strategies is the adoption of electronic communication strategies to communicate with patients.

Communication in health has changed a lot due to the use of electronic communication. For example, patients can access health information from the internet easily via their electronic devices. They can book appointments with clinicians online and minimize time wasted in queuing in the hospital. Clinicians can also access patient’s records via an online platform and maintain confidentiality. Electronic communication increases the relationship between the patient and the physical. It offers privacy and confidentiality of the patients’ information. Forms of electronic communication adopted in my organization include; use of emails, the internet, and text messaging. (Susanto & Chen, 2017)

First, use of emails. Emails have benefits to both the patient and the physicians. They offer convenient delivery of information to patients even in remote areas. Since emails can be sent any time of the day, some busy people can use emails to consult their health problems. A physician can also provide health information to a vast number of people via emails. The health organization can also get feedback about their services and products via emails from the patients.

The use of text messaging is also allowed by the HIPAA system in healthcare.  Secure texting platforms have increased patients’ quality of care, reduced medical errors, reduced congestion in hospitals, and wasted time. Doctors and nurses use text messaging to cancel appointments and reduce the inconveniences to the patients.They can communicate any delays and inconvenience in their systems and hence improve the patient experiences.

According to the HIPAA system, it is essential to maintain the privacy and confidentiality of patient information. My organization keeps the patients’ information private and confidential in several ways. First is the presence of policies and confidentiality agreements. The agreement provides the information that the staff is expected to be aware of.It is read and signed to show they understand it, and patients are provided with copies of the same to show them that their confidentiality is taken care of. The second is storing information in secure systems. It ensures that patient’s information is protected from hackers and any other authorized personnel. The information can also be easily retrieved when a reference is required. (George & Bhila, 2020)

The other way is restricting the use of mobile phones in inpatient record areas. It ensures that someone cannot photograph any confidential information of the patient and spread or use it outside the healthcare premises. Finally, is the provision of regular training to the doctors and nurses. Training reminds them of what is expected from them. It helps strengthen the bonds between themselves and work as a team to keep patients’ information private and confidential.
